I. OBJECTIVE
1. To provide general guidelines regarding the ordering of company-owned outlets
II. DEFINITION OF TERMS
1. Ordering – refers to the activity of placing of orders by the outlets for delivery.
2. Order Taker – the personnel in charge of taking and documenting the orders for each outlet.
III. GENERAL POLICIES
Outlet’s orders must be placed two (2) days before the scheduled delivery of the outlet. There are two (2) instances in which Order Taker receives the orders:
1. From BubbaEat (BBE) and Full Stores
Ordering time is between 10am to 3:30pm, except 12nn to 1pm, Mondays to Saturdays. Manner of ordering is through call. Order Placer must call the Order Taker stating that their outlet is ready to place an order and then dictate the items in chronological order as per DSR template.
Order Placer must know how many unique items he has ordered. Order Taker must verify the number of the unique items. Order Taker must read and verify each item ordered and their corresponding quantity. Order Placer must confirm each item as reiterated by Order Taker. Order Taker shall provide a confirmation code after the ordering process.
Late ordering shall only be entertained until 5pm. It shall be upon the approval of the Operations Officer.
“No confirmation code, No order placement happened” policy must be observed.
2. From Profit Center Support (PCS)
Profit Center Support (PCS) is assigned to place orders for all outlets (except BubbaEat and Full Stores) in the Quorus System. All orders for the day must be inputted in the Quorus System within the same day. Order Taker will then view and extract the orders from the Quorus System.
Every first week of the month, Order Taker shall send a report to the CEO and COO. The report shall be a summary of outlets which are often late in placing their orders.
