I. OBJECTIVE
1. To observe proper monitoring of the Rider’s accessories such as motorcycle, helmet, protective gear and mechanical tools
II. DEFINITION OF TERMS
1. Rider – refers to the messenger who picks up and delivers documents (such as DSR forms) from and to outlets.
III. GENERAL POLICIES
Rider is issued a motorcycle, a set of mechanical tools, a set of protective gear and a helmet, all for the purpose of his job. All of them are liabilities to the Rider and therefore must be handled with utmost care.
Rider, together with the Security Guard (SG), must monitor the cleanliness and condition of the above mentioned items, as well as the mileage reading and daily gas purchase of the motorcycle, during Mondays thru Fridays. During Saturdays, Rider must check all of them together with SOS Staff. All checking must be recorded in the Daily Motorcycle Monitoring form.
For the checking of motorcycle and helmet, SOS must keep a printed copy of cross-section of both motorcycle and helmet. The cross-section must have marks that correspond to the condition of the motorcycle and helmet. SOS must use red ballpen in marking the paper. SOS must provide a photocopy of the marked cross-section to the SG. SG must also use red ballpen in marking the paper for new dents, scratches, etc. found on the motorcycle and helmet.
The following labels must be used:
a. Dent – Ο
b. Scratch – //
c. Missing – X
d. Damaged – Δ
If the SG finds a new dent, scratch, etc. on the motorcycle and/or helmet, he must report it immediately to the SOS. SOS must retrieve the SG’s copy of cross-section with new markings, sign it and write the present date on it, photocopy it and give the photocopy to the SG. SOS must keep the SG’s old copy for filing (hard and soft copy). Rider must give an Incident Report to the SOS regarding the issue.
Rider must surrender the motor keys, tools, gears and helmet to the SOS after roving. Rider must make an Incident Report in case of lost of any item or damage on any of the properties issued to him.
Every Friday, SOS must request gasoline to the Purchasing Department. Each Rider is entitled to ten liters (10L) of gasoline each week.
Riders must replenish their motorcycle’s gasoline daily, at the agreed “full tank” level. Received receipts and Purchase Order (PO) forms must be given by the Rider to the SOS Staff. SOS Staff must record the number of liters purchased daily.
SOS must send to the Operations Manager (CC: CEO) the weekly Motorcycle Monitoring Report. Variance for the weekly mileage per liter records must only be at (+/-) 10%.
