I. OBJECTIVE

1. To provide guidelines on the process of issuing ATD during delivery

 
II. DEFINITION OF TERMS

1. Authority to Deduct – also known as “ATD”, a medium used to let the personnel to be deducted acknowledging the fact. This enables immediate closure of a situation that involves deduction

2. Authority to Deduct (ATD) Slip – the medium used to let the personnel to be deducted acknowledging the fact

 
III. GENERAL POLICIES

Proper Process of Authority to Deduct (ATD):
1. If there is a discrepancy with the products delivered from Warehouse to Outlet, Service Crew (SC) must make an ATD to the Driver. Driver must sign the ATD form on the spot. (Signing of ATD does not necessarily mean that the ATD will automatically be deducted to the driver.)

2. Service Crew must give the White and Blue Copy to the Driver, while the Pink Copy must be attached to the day’s DSR.

3. Driver must give the White and Blue Copy of ATD to their Supervisor.

4. Upon receiving of ATD, Warehouse Supervisor must make further investigation about the incident. Supervisor will decide whether the ATD must be charged or not. All White Copy of ATD with Incident Report (IR) attachment from the person involved will be surrendered to the Profit Center Section (PCS) with remark such as “charged” or “waived”. Blue Copy of ATD will be given back to the personnel involved as their copy.

5. The deadline of ATD is every Saturday. The cut-off day of ATD is from Friday to Thursday.

6. Every Saturday, Warehouse Supervisor will send all ATD (White Copy) issued from Friday to Thursday to the PCS through the messenger and must send an e-mail to PCS reporting the total no. of ATDs gathered, total no. of charged ATD and total no. of waived ATD. S/He must also send a report on the total waived and charged ATD per person.

7. Then, the messenger will give the White Copy of ATD with remarks to the PCS. (If the messenger is not available, the PCS must be informed.)
