I. OBJECTIVE
1. To provide guidelines on regular monitoring and update of the department’s task and activities
II. DEFINITION OF TERMS
1. Schedule of Activities – an activity calendar used to list all the pending work or task of each department
III. GENERAL POLICIES
Each department is issued a board for their activities calendar or Schedule of Activities. The board or calendar must be regularly monitored and updated. It shall stand as guide for the department in their daily, weekly and monthly activities and responsibilities. For the Operations Department, the Schedule of Activities must include the ff:
• Pending Outlet concerns
• Pending Outlet requests
• Other activities, obligations and responsibilities
All items listed on the board must be color-coded. For items that need immediate action or must be done within 24 hours or 1 day, it must be written using red marker. For those that must be accomplished within 2-3 days, blue marker must be used. Those with 1 week lead time must be written using green marker. Therefore, the board must be divided into 3 columns, 1 for each code.
Code Red includes the following:
• Locks replacements
• Busted lights/ballast replacements
• Power outlet damage
• Cart door repair
• Gate repair
• Grounded cart repair
• Gas hose replacement
• Rice cooker request
• Electric stove request
• Boiler request
Code Red includes all emergency cases that are critical to the safety and operation of the outlet. However, it still depends on maintenance staff availability.
Code Blue includes the following:
• Cart repair (cabinet, drawer guide, drawer, door, and other parts of cart)
• Installation of filter
• Grease trap, exhaust fan, electric fan, utility cabinet, and other outlet equipment repairs
Code Blue includes all repairs and installations that need to be scheduled and not that urgent that it will cause stopping the operations of the outlet.
Code Green includes the following:
• Repair, installation and other materials or equipments that have to be purchased
Code Green includes all repairs, installations, and equipments that need to be canvassed and purchased and need certain amount of time. It also includes all things that need approval from the CEO before taking action.
